The cost verdict: Otter Pro has the lower published annual seat rate for a light, eligible workload. Fireflies Pro provides a larger imported-minute allowance and fewer file-count constraints for upload-heavy work. Otter Business removes the live-recording minute ceiling, not its separate imported-audio allowance. Decide what you record before comparing the prices.
The buyer question: what does a usable hour actually cost?
A meeting assistant and an uploaded-media transcription service can produce similar-looking transcripts while charging for different bottlenecks. A fifty-hour interview archive is not the same purchase as fifty hours of live meetings. Import counts, maximum recording length, storage, supported languages and the number of people operating the system can invalidate a cheap plan before its headline rate matters.
This page owns the Fireflies versus Otter bill, not a hands-on accuracy ranking. We checked the public pricing and current Fireflies allowance documentation on October 8, 2026. Prices below are public US-dollar rates before tax, with promotional and regional-only discounts excluded. Annual equivalents assume the same paid seats for a full year. We have not recorded meetings, bought a subscription or independently measured recognition accuracy. For workflow selection, use AMF's transcription workflow comparison. For edited-media economics, the existing Descript pricing reference is the adjacent owner, not another meeting-bot ranking.

Otter's annual rate is displayed to two decimal places. Multiplication is a budgeting estimate, not a claim about the exact annual invoice rounding. Its pricing page also displays lower India-card promotional prices; they do not form the general USD baseline. A temporary Business introductory offer is not a recurring renewal rate. Fireflies Enterprise is a separate annual-contract decision and is unnecessary merely to compare the scenarios here.
At five annual seats, Fireflies Pro's baseline is $600/year and Otter Pro's is $499.80, a $100.20 difference before limits and extras. But Otter Pro's workspace caps paid users at five. At six operators, multiplying the Pro price by six is not an eligible workspace quote. Otter Business supports up to twenty-five users in the public matrix; bigger organizations need a current enterprise quote rather than extrapolation.
Live meetings and imported recordings use different units
Otter's plan matrix lists a 1,200-minute meeting/recording limit and a separate 1,200-minute imported-file limit per Pro user per month. We never add the two together: this calculator tests uploaded media against the imported-file row only, and whether a heavy live-meeting month reduces import capacity should be confirmed with Otter. Ten file imports also limit how that allowance is consumed: twelve short files can exceed the count while staying below the minute total. A 100-minute interview does not fit the ninety-minute session limit just because the account has unused monthly minutes.
Otter Business currently advertises unlimited live and in-app recordings but a separate 6,000-minute imported-audio allowance per user each month. Unlimited imports in the file-count column does not mean unlimited imported duration. For an archive of 150 uploaded hours, the same user exceeds that allowance even if they attend no live meetings. Do not reuse an older description of Business as simply a 6,000-minute live-meeting plan.
Fireflies' official rate-limit documentation distinguishes live bot meetings, Chrome Google Meet capture and mobile capture from external uploads. External sources, including dashboard/API imports and connected storage, have an allowance of 3,000 minutes per source per person per month. Team allowance is 3,000 multiplied by users, capped at 150,000 minutes per source. Additional minutes are $0.01 each. This is not an invitation to split work across sources to avoid limits; the estimate below deliberately assumes one legitimate import source.
On Fireflies, recording retention is a separate constraint. Pro's 8,000 stored minutes are cumulative capacity per seat, not 8,000 fresh upload minutes every month. A team can stay below the monthly import rate and still need to export/delete retained recordings or upgrade for storage. Count retention obligations before calling an unlimited transcription entitlement unlimited archive capacity. Session duration, file size, language and platform access also need to match the actual source files.

Scenario three is where the lower Fireflies Pro subscription does not produce the lower monthly modeled bill: 4,800 imported minutes minus 3,000 included minutes leaves 1,800 billed minutes, or $18. Otter Business stays within its 6,000 imported minutes and four-hour session limit. Conversely, upgrading a forty-hour, twenty-file workload from Otter Pro to Business changes the required annual-rate subscription even though the nominal Pro seat rate looks attractive.
These examples assume an even workload across users, one source, no live-meeting minutes counted against Otter's separate meeting/recording row, and an archive that fits Fireflies Pro storage or is managed deliberately. The usable hours are explicit hypothetical inputs, not vendor accuracy scores. If both products yield different usable output on your material, enter different measured usable hours and include review labor separately. We do not invent a word-error-rate advantage for either vendor.
Uploaded-media cost calculator
This narrow calculator applies the published import constraints and subscription rates, not live-meeting unlimited allowances. Inputs are team totals evenly distributed over billed users. File count and longest recording must also be distributed within each user's entitlement. It does not certify language support, storage fit, upload size or Fireflies session-length eligibility; confirm those separately. Fireflies overage assumes a single source and uses its 150,000-minute team cap.
Formula: monthly modeled bill = billed seats × selected subscription rate + eligible Fireflies import overage. Effective cost per usable hour = modeled monthly bill / usable hours. Annual subscription = monthly-equivalent subscription × twelve; variable overage is not silently committed for a year. The tool refuses zero, negative or non-finite quantities and never displays an effective-hour winner for an Otter workload outside the modeled plan limits.
Storage, AI and extra seats can reverse the calculation
Fireflies Free shows 400 minutes of team storage, Pro 8,000 per seat and Business unlimited storage. A solo user retaining forty hours each month accumulates 7,200 minutes after three months and exceeds 8,000 during month four if nothing is removed. Business's extra $9/month at the annual rate may therefore be relevant even where Pro's import allowance fits. Unlimited storage is not a substitute for a retention and export policy, particularly when recordings contain client or employee information.
Fireflies summaries and its metered AI-credit features are different entitlements. The pricing page lists credit quantities, but current supporting pages describe cadence inconsistently, including a one-time Pro allowance. We do not assume twenty fresh Pro credits every month or build a recurring AI budget from that ambiguity. Confirm the purchased credit pack, action consumption and renewal before treating AI analytics as included unlimited work.
Otter's AI-chat quotas similarly do not equal unlimited transcription or unlimited organization-wide assistant use. Free, Pro and Business have different query entitlements. If your purchase is for an assistant rather than a transcript archive, obtain a matched quote for queries, access controls and paid users. A transcript price divided by hours cannot tell you the price of an AI action unless the product actually meters that action in hours.
Do not buy a seat simply because it enlarges a pooled limit unless the vendor permits that arrangement and the operator/admin requirements are understood. Extra seats add subscription cost, onboarding and permissions. Contractors who only need exported notes may not need the same access as a meeting recorder, but sharing a paid account to avoid licensing is not a valid economic assumption.
Where Descript, HappyScribe and Transkriptor belong
Descript is a useful control when uploaded media must also be edited, not a direct substitute for every automated meeting-capture workflow. A retained editor subscription may make another transcription purchase unnecessary, but only if its media-hour allowance, export and collaboration rights cover the workload. Use the existing Descript cost owner rather than adding an unneeded generic transcription seat.
Transkriptor Pro currently lists 2,400 minutes per month, with $19.99 monthly or $99.99 billed annually. Its annual bill is not $8.33 paid cancellably each month. Team pricing and allowances use a separate plan. It is an upload/recording control worth pricing for a forty-hour solo workload; whether it replaces a bot, editing tool or compliant archive is a separate qualification question.
HappyScribe distinguishes AI transcription from paid human proofreading. Its annual Basic reference shows €8.50/month equivalent, with an annual minute pool and paid additional minutes. Euro plans are not a cheaper USD meeting seat by inspection, and human proofreading is not included unlimited labor. We retain its direct pricing evidence because exact currency, billing and language-service choice must be selected before computing a matched bill.

Free tiers and a defensible trial
Otter Basic's 300 monthly minutes, thirty-minute recording length and three lifetime file imports are useful for testing a small sample, not a renewable monthly archive of three uploads. Fireflies Free's storage and summary constraints also make it a trial of a specific workflow, not proof that a permanent business workload fits for nothing. A bot must be allowed by the meeting host, participants and your organization; a paid plan does not grant permission to record.
Before an annual purchase, use representative, lawfully recorded material: a noisy meeting, technical vocabulary and an interview of the intended duration. Measure usable output and review time without publishing confidential samples. Record import count, monthly input, retained minutes and required sharing controls. Compare a monthly pilot's complete bill with a year of committed seats, not just the annual equivalent printed in large text.
Cheaper software is wrong when it cannot import the files, does not support the needed language, breaches the organization's recording rules or requires manual repair that the buyer has not budgeted. This pricing research does not establish legal recording consent, security compliance, latency or independent accuracy. Those requirements determine eligibility before cost optimization starts.
