Cost verdict: the cheapest eligible CRM may be a free edition when your team is small and only needs contacts and deal tracking. HubSpot Free permits up to two users; Zoho Free permits three. Neither fact makes a free tool equivalent to a paid sales-engagement platform. Start with the workflow and user count, then calculate the bill.

A normalized shortlist, not a paid affiliate ranking

Write down the number of editing users and one essential daily workflow. For three contact-management users, HubSpot's two-user free limit is a genuine eligibility constraint; Zoho Free deserves a trial even though it is a non-affiliate control. For a salesperson who only updates a visual pipeline, paying for enterprise custom objects is unnecessary. Conversely, a team relying on automated sales sequences should evaluate a plan that includes sequences before ranking its cost.

Annual cost examples in the vendor's displayed currency

Pipedrive Lite at €14 annually billed is €168 per seat for a year; five paid seats are €840. Growth at €39 is €468 per seat/year or €2,340 for five. Those totals exclude tax, optional add-ons and implementation. They do not establish savings against dollar pricing. Confirm the country, currency and billing selector on the official page.

HubSpot Sales Professional's checked US rate gives 5 × $90 × 12 = $5,400 recurring, plus the displayed $1,500 required onboarding for $6,900 first year. That higher subtotal must be justified by actual workflow requirements. It should not be presented as the inevitable price of a basic CRM. Starter promotions can be lower, but introductory offers are not a permanent renewal baseline.

Five costs a free-plan headline misses

  1. User eligibility: count operators, not just administrators.
  2. Automation: define triggers, sequences and reporting that are essential.
  3. Data limits: verify records, storage, attachments and export.
  4. Integrations: check whether email, phone and accounting connections require paid tiers.
  5. Exit cost: confirm the ability to export your records and activities before entering them.

The cheapest first month is not always the lowest three-year cost. If you expect to outgrow a free limit immediately, compare the first eligible paid tier and the future seat count. If growth is uncertain, flexibility may be more valuable than an annual introductory discount. Do not multiply an unverified promotion across three years.

Keep the incumbent and workflow control visible

HubSpot may be appropriate when shared marketing and sales processes are already central to the business. Check current Sales Hub eligibility (partner link) only after defining that requirement. Pipedrive and Zoho remain direct evidence links, not inferior options by default. Our recommendation is not determined by which merchant pays a commission.

A practical purchase checklist

Trial the exact edition, import a small representative dataset, create one real pipeline and ask an ordinary user to complete the daily workflow. Test export as well as import.
